2. Data We Collect

Account Information

  • Email address
  • Password (encrypted)
  • Billing information (processed by Stripe)

Integration Data

  • GoHighLevel API credentials (encrypted at rest)
  • GHL location and pipeline identifiers
  • Slack webhook URLs (encrypted at rest)

Call Data

  • Call recordings (audio files temporarily cached during processing)
  • Call transcripts (text)
  • Call metadata (date, duration, participant names)
  • AI analysis results and findings

Usage Data

  • Service usage metrics (pipeline runs, calls analyzed)
  • Token consumption for billing purposes

3. How We Use Your Data

We use your data exclusively for:

  • Providing the service: Fetching calls from GHL, transcribing audio, running AI analysis, and delivering results
  • Billing: Tracking usage and processing payments
  • Service communications: Sending daily digests, important updates, and support responses
  • Service improvement: Analyzing aggregate usage patterns to improve features (never using your actual call content)

We will never:

  • Sell your data to third parties
  • Use your call data to train AI models
  • Share your business data with competitors
  • Access your data for purposes beyond providing the service

4. Third-Party Processors

We use the following third-party services to operate Dialwatch:

Supabase

Database hosting, user authentication, and encrypted credential storage.

Audio transcription. Audio is processed in real-time and not retained by Deepgram.

AI analysis of call transcripts. We use the API with zero data retention. Your transcripts are not used to train Anthropic's models.

5. Data Retention

  • Active accounts: We retain your data for as long as your account is active
  • Audio files: Temporarily cached during processing, then deleted within 24 hours
  • Transcripts and analyses: Retained for your review until account deletion
  • Deleted accounts: All data is permanently deleted within 30 days of account deletion

6. Your Rights

You have the right to:

  • Access: Request a copy of your data
  • Correction: Update inaccurate information
  • Deletion: Delete your account and all associated data
  • Export: Request an export of your data in a portable format
  • Withdraw consent: Stop using the service at any time

7. Security

We protect your data using:

We use only essential session cookies for authentication. We do not use tracking cookies, advertising cookies, or third-party analytics that track you across sites.
